We treat the protection of your personal data as a core responsibility. Personal data must be collected and processed only where this is necessary and lawful. Protio designs its systems and internal procedures in line with the General Data Protection Regulation (EU) 2016/679 and applicable Greek law.

This policy is adopted by PROTIO, based in Athens, Greece, and applies when you provide information to us on paper, through the website, through related online forms or when you otherwise use www.protio.gr and the services made available through it.

What is personal data?

Personal data means any information relating to an identified or identifiable natural person. This may include name, address, postal code, city, country, phone number, email address and certain technical information such as IP address or the webpages from which you entered our website.

Special categories of personal data, such as health data, family-status information or data relating to criminal allegations or convictions, are treated with particular care. As a rule, Protio does not collect special categories of data as part of its core business activity unless a specific lawful basis exists.

This may include your full name, contact details, email address, phone number, information about your property, technical information from your visits to the website, information submitted for property sale or service requests, and any other information you voluntarily choose to share with us.

How we collect this information

Most of the personal information we process is provided directly by you when you complete interest forms, subscribe to our newsletter, request tailored updates or targeted advertising, or communicate with us by phone, email or any other means.

Completion of an online form

While browsing our website, you may complete forms with certain minimum personal details, such as your name, email address and phone number, in order to submit a request. Such requests may concern a possible professional collaboration with our company, the promotion or sale of your property, the purchase of a property, financing or subsidy support, or other service-related information.

We store these details securely in order to respond to your request and assess the possibility of cooperation or contract formation. Unless you expressly ask us to retain the information for future use or subscribe to our newsletter, we do not use those details to send promotional material.

Legal basis for processing

Protio processes personal data on one or more of the following legal bases: compliance with legal and regulatory obligations, Protio's legitimate business interests, the performance of contractual obligations or steps taken before entering into a contract, obligations relating to employment or social security law where relevant, and your consent where consent is required.

How we use your personal data

Protio uses personal data in order to communicate with you, respond to your requests, send newsletters and updates where we have the right to do so, support property and service workflows, evaluate collaboration requests, recruit personnel, perform contracts and improve the operation and security of our services.

Recipients of your data

We do not sell or trade your personal data. We may disclose data to third parties only under conditions that ensure lawful processing and only to the extent necessary for the relevant purpose.

Data may be transferred within the European Economic Area, where all applicable security requirements are observed. As a rule, we do not transfer data outside the EU or EEA. We implement appropriate technical and organizational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or unauthorized access.

These measures include regular workstation controls, automatic locking, software and hardware updates, secure server shutdown procedures, controlled storage of hard-copy records, restricted access rights, backups, firewall and antivirus protection, encrypted SSL transmission and secure email transmission through SMTP with TLS.

How long we keep your data

Personal data is retained for as long as necessary for the purpose for which it was collected and used, taking into account legal and regulatory retention obligations, limitation periods for legal claims, operational needs and the nature of Protio's business activities.

Your rights regarding personal data

Under applicable data protection law, you may request access to the personal data we hold about you, correction or deletion of that data, restriction of processing, objection to processing and delivery of your data in a structured electronic format where data portability applies.

Where processing is based on consent, you may withdraw that consent at any time for future processing. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal. Even after a withdrawal, Protio may continue processing personal data to the extent required or permitted by law, including for the establishment, exercise or defense of legal claims and for compliance with legal obligations.
